Job Summary
We are seeking a detail-oriented and proactive Property Management Virtual Assistant to support the day-to-day operations of a growing property management company overseeing approximately 70 residential units. This role centers on maintenance coordination, tenant communication, lease administration, and general administrative support, with additional scheduling duties for a related service business.
Key Responsibilities
- Coordinate maintenance requests by communicating with tenants, contractors, and property owners to ensure timely resolution of work orders
- Log maintenance and work order costs into the property management system (Buildium)
- Manage lease renewals, including preparing and sending renewal documentation to tenants
- Facilitate new tenant onboarding, ensuring all paperwork and processes are completed smoothly
- Respond to tenant and client emails promptly and professionally
- Address lease-related issues and escalate as needed
- Schedule appointments and manage calendars across two businesses to prevent overbooking
- Follow up on rent collection and flag overdue accounts
- Maintain organized records within Buildium and other business systems
- Communicate with Spanish-speaking contractors when needed
Mandatory Skills
- Experience in property management, real estate administration, or a similar role
- Familiarity with property management software (Buildium experience is a strong plus)
- Excellent English communication skills, both written and verbal
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Experience handling maintenance coordination, tenant communications, and lease documentation
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Proficiency in email management and calendar scheduling
- Strong communication skills and ability to collaborate effectively with property owners, tenants, and contractors
Preferred Skills
- Conversational or working proficiency in Spanish
- Experience with accounting or bookkeeping tasks in a property management context
- Familiarity with scheduling and dispatch coordination for service-based businesses
- Knowledge of lease agreements, renewals, and tenant onboarding processes
- Ability to manage multiple projects simultaneously
- Experience using Google Workspace or similar productivity tools
