Job Summary

We are seeking an experienced QuickBooks Bookkeeping VA to take ownership of our financial records and bring clarity to our cash flow. The ideal candidate is a confident QuickBooks expert who can independently clean up, reconcile, and organize our books with minimal oversight. This role is perfect for someone who can look at a set of accounts, diagnose what needs fixing, and get everything to a reliable baseline that supports clear financial decision-making.

Key Responsibilities

  • Reconcile bank and account transactions on a regular monthly basis
  • Perform cleanup and housekeeping on existing QuickBooks records to establish a clean baseline
  • Categorize and sort income and expenses accurately for clear reporting
  • Set up and manage the Projects feature to track contract-specific expenses and revenue
  • Track customer advance payments against the expenses tied to each contract
  • Estimate and monitor cash flow to support forward-looking financial planning
  • Create, send, and track professional invoices
  • Manage accounts payable and accounts receivable
  • Generate financial reports that provide accurate, actionable insights
  • Help establish annual budgets and identify total annual expenses

Mandatory Skills

  • Proven, hands-on expertise in QuickBooks (reconciliation, categorization, cleanup, and reporting)
  • Strong bookkeeping and accounting fundamentals
  • Experience using the QuickBooks Projects feature for job/contract-based tracking
  • Ability to diagnose and resolve issues in existing books independently
  • Solid understanding of cash flow tracking and financial reporting
  • Reliable, detail-oriented, and able to work independently with minimal supervision
  • Strong communication skills and the ability to explain financial information clearly

Preferred Skills

  • Experience with accounts payable and receivable management
  • Familiarity with payroll processing
  • Background working with service-based or contract-driven businesses
  • Ability to advise on bookkeeping best practices and process improvements
  • Experience managing books for small businesses or solo-operated companies
