Part TimeAdministrative and Operations Support
- *Job Summary:** We are seeking a proactive and organized Operations & Workflow VA to support a growing residential construction company. This role involves building and maintaining workflows within job site management software, handling invoicing and client correspondence, ensuring crew compliance with safety and documentation requirements, and compiling operational reports for leadership. The ideal candidate is resourceful, detail-oriented, and comfortable working in environments where processes are still being developed.
Key Responsibilities
- Build and configure forms, workflows, and tracking systems within SiteMax job site management software
- Send invoices and follow up on payments through QuickBooks Online
- Manage business-to-business client correspondence and follow-ups
- Monitor crew compliance with paperwork submissions and safety documentation
- Compile operational reports and snapshots for management review
- Support the transition of time tracking and job data from QuickBooks Online to SiteMax
- Maintain organized records across accounting and job site management platforms
- Identify opportunities to streamline administrative processes and improve efficiency
- Assist with general administrative tasks as the role evolves
Mandatory Skills
- Proficiency in QuickBooks Online, including invoicing and basic reporting
- Experience with job site management, project management, or workflow-building software
- Strong organizational and administrative skills with the ability to create systems from scratch
- Comfortable working in a business environment where processes are still being established
- Excellent attention to detail, especially with compliance tracking and documentation
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong communication skills with the ability to coordinate across teams
Preferred Skills
- Experience in the construction industry or familiarity with construction operations and terminology
- Prior experience using SiteMax or similar job site management platforms
- Background in accounts receivable, invoicing, or bookkeeping
- Experience building SOPs, workflows, or operational documentation
- Familiarity with safety compliance tracking and crew management processes
- Ability to manage multiple projects simultaneously and adapt as responsibilities grow
