Job Summary
We are looking for a detail-oriented and experienced Mortgage Operations Assistant to manage loan files from intake through closing, with a focus on DSCR and Hard Money loan programs. The ideal candidate has hands-on experience with LendingPad, a solid grasp of LLC documentation, and the ability to spot and resolve discrepancies before they reach underwriting. This role requires someone who is highly organized, proactive, and comfortable working independently in a fast-paced lending environment.
Key Responsibilities
- Manage loan files from application through closing, ensuring all files are complete, organized, and submission-ready
- Collect and review borrower documents including LLC documents (Operating Agreement, Articles of Organization, EIN Letter), identification, purchase contracts, and supporting materials
- Review and validate LLC ownership structures, analyze Operating Agreements, and ensure consistency between LLC docs, IDs, and loan applications
- Identify and resolve discrepancies in loan files before they reach underwriting
- Verify borrower identity and confirm all borrower data is aligned across the full file
- Review insurance documentation to confirm correct LLC name, property address, and lender listed as Mortgagee or Additional Insured
- Order and track appraisals, following up until completion
- Input and manage loan files within LendingPad, upload and organize all documents, and ensure files are properly structured before submission
- Update borrower stages, pipeline status, and activity logs in GoHighLevel (GHL)
- Communicate with borrowers, brokers, lenders, and third parties, performing daily follow-ups on missing documents, underwriting conditions, and appraisal status
- Submit complete loan files to underwriting and manage conditions through to clearance
Mandatory Skills
- Proven experience processing DSCR and/or Hard Money loans (Fix & Flip, Bridge, Construction)
- Hands-on experience using LendingPad for loan file management and data entry
- Strong understanding of LLC structures and documentation, including Operating Agreements
- Ability to review and verify LLC ownership percentages and identify discrepancies
- Experience managing the full loan file lifecycle from intake to closing
- Strong organizational skills with the ability to manage multiple files simultaneously
- Excellent written and verbal English communication skills
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong follow-up skills and ability to work with urgency
Preferred Skills
- Experience with GoHighLevel (GHL) for CRM and pipeline management
- Prior experience working with U.S. real estate investors
- Familiarity with non-QM loan products and alternative lending structures
- Experience coordinating with appraisers, title companies, and third-party vendors
- Ability to proactively flag issues and propose solutions before they escalate
