- *Job Summary:** We are looking for a sharp and reliable Admin & Appointment Setter to support our daily operations and keep our calendar running smoothly. This role combines core administrative tasks with proactive outreach and appointment booking, making it ideal for someone who is organized, personable, and confident communicating with prospects and clients. The right candidate is highly responsive, detail-driven, and capable of managing multiple priorities at once.
Key Responsibilities
- Manage calendars and schedule appointments across multiple time zones
- Conduct outbound outreach via email, SMS, and phone to book qualified appointments
- Follow up with leads to confirm bookings and reduce no-shows
- Qualify inbound leads and route them to the appropriate team members
- Maintain and update CRM records, contact lists, and lead pipelines
- Handle inbox management, email correspondence, and prioritize incoming messages
- Prepare meeting agendas, take notes, and follow up on action items
- Coordinate scheduling between internal team members and external contacts
- Provide general administrative support including data entry and document handling
- Track appointment-setting metrics and report on performance
Mandatory Skills
- Proven experience in an admin assistant and/or appointment setter role
- Excellent verbal and written English communication skills
- Strong calendar and scheduling management abilities
- Hands-on experience with CRM tools (such as HubSpot, GoHighLevel, Salesforce, or similar)
- Comfort with email management and inbox organization
- Lead qualification and basic sales communication skills
- Reliable, detail-oriented, and able to work independently
- Strong communication skills and a professional, friendly phone manner
Preferred Skills
- Cold outreach or cold calling experience
- Familiarity with scheduling tools like Calendly, Acuity, or GoHighLevel calendars
- Experience working with sales pipelines and lead tracking
- Customer service background
- Knowledge of Google Workspace and standard productivity tools
- Ability to manage multiple projects simultaneously
