  • *Job Summary:** We are looking for a resourceful and dependable Admin and Operations Virtual Assistant to provide day-to-day support across multiple business functions. This role involves a mix of administrative coordination, online research, grant research, operational support, and light social media management. The ideal candidate is organized, proactive, and comfortable wearing multiple hats in a fast-paced environment.

Key Responsibilities

  • Organize and streamline administrative workflows across multiple business operations
  • Conduct online research including grant identification, eligibility review, and application support
  • Manage follow-up communications, email correspondence, and scheduling
  • Prepare, complete, and submit forms and paperwork as required
  • Assist with recruitment tasks such as posting job ads and screening applicants
  • Support light social media management including content posting, engagement, and responding to comments and inquiries
  • Leverage AI tools to improve efficiency and streamline research and administrative processes
  • Help build and maintain organizational systems and standard operating procedures
  • Coordinate calendars and manage appointment scheduling as needed
  • Track tasks and deadlines to ensure timely completion across all business areas

Mandatory Skills

  • Proven experience in administrative support and virtual assistance
  • Strong organizational skills with the ability to manage tasks across multiple projects simultaneously
  • Experience conducting online research, including grant research and government or state-level documentation
  • Proficiency in Google Workspace (Google Docs, Google Sheets, Gmail, Google Calendar)
  • Familiarity with AI tools (e.g., ChatGPT) and willingness to use them for research and productivity
  • Strong written and verbal communication skills
  • Reliable, detail-oriented, and able to work independently with minimal supervision
  • Comfortable managing email correspondence and follow-up communications

Preferred Skills

  • Experience with project management tools such as Monday.com, Asana, or Trello
  • Background in recruitment support including job posting and applicant screening
  • Familiarity with social media platforms and basic content posting
  • Experience working within an Apple ecosystem
  • Familiarity with nonprofit operations and grant application processes
  • Ability to identify process improvements and suggest more efficient workflows
  • Experience supporting business owners who manage multiple ventures
