Job Summary
We are seeking a skilled and organized Real Estate Virtual Assistant to provide comprehensive administrative and marketing support for a growing real estate brokerage. This role encompasses CRM management, social media content creation, transaction coordination, and lead research. The ideal candidate combines strong real estate knowledge with creative marketing skills and a proactive, detail-driven approach.
Key Responsibilities
- Manage and maintain the CRM system (Wise Agent), ensuring all contacts, listings, and transaction records are accurate and up to date
- Support the migration and integration of MLS data into the CRM platform
- Create and schedule social media content across Facebook and Instagram, including graphics, photos, and short-form videos
- Execute email marketing campaigns using Microsoft 365, including bulk email outreach
- Coordinate real estate transactions end to end, including preparing and organizing contracts, addendums, and tracking critical deadlines
- Handle listing coordination tasks to ensure smooth and timely property listings
- Conduct lead research to identify and organize prospective clients and opportunities
- Manage scheduling, calendar appointments, and coordinate showings or meetings
- Maintain an organized database of listings, contacts, and transaction records
- Stay current on AI tools and automation opportunities to streamline administrative workflows
Mandatory Skills
- Proven experience in real estate administrative support or transaction coordination
- Proficiency with CRM platforms, preferably in a real estate context (Wise Agent experience is a plus)
- Experience creating social media content, including graphics and short-form video
- Familiarity with email marketing using Microsoft 365 or similar platforms
- Strong understanding of real estate transaction processes, contracts, and documentation
- Excellent organizational skills with the ability to manage multiple tasks and deadlines simultaneously
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong English communication skills, both written and verbal
Preferred Skills
- Experience with MLS systems and data migration
- Proficiency in graphic design tools such as Canva or similar platforms
- Familiarity with video editing tools for creating short-form social media content
- Knowledge of AI tools and automation platforms to optimize administrative workflows
- Experience managing social media accounts for real estate professionals or brokerages
- Background in listing coordination and real estate marketing
