Job Summary
We are seeking an experienced, QuickBooks Online–certified bookkeeper to independently run the full financial cycle for an established US-based construction company. This is a senior, lead-level role: you’ll own the books end to end — managing AR, AP, payroll, and collections — and serve as a professional first point of contact for clients and subcontractors by phone. We’re looking for a reliable, detail-oriented professional who works well autonomously and represents the business with confidence and polish.
Key Responsibilities
- Manage full-cycle bookkeeping in QuickBooks Online, including daily and weekly transaction categorization, expense tracking, and data entry
- Perform regular account reconciliations and prepare accurate financial reports
- Handle accounts receivable, including issuing client invoices and payouts and following up on collections
- Handle accounts payable, including processing and releasing subcontractor and vendor payments
- Process payroll and maintain accurate timesheet records
- Track and administer employee time-off requests (basic HR support)
- Answer inbound calls as the first point of contact for clients and subcontractors, handling inquiries professionally via RingCentral
- Provide general administrative support as needed
Mandatory Skills
- QuickBooks Online certified, with several years running full books independently at a senior or lead level (no entry-level)
- Strong hands-on experience across accounts receivable, accounts payable, payroll, and collections
- Clear, confident, professional spoken English — comfortable being a company’s first point of contact on live phone calls
- Proficient in Microsoft Excel and Word, and comfortable using Dropbox for file management
- Reliable high-speed internet, with the ability to use a US-based VPN if required
- Comfortable signing an NDA and data-privacy agreement, and fully trustworthy with sensitive financial and employee information
- Reliable, detail-oriented, and able to work independently
- Strong written and verbal communication and organizational skills
Preferred Skills
- Experience with construction, contractor, or trades bookkeeping (e.g., subcontractor payouts, job-related billing)
- Familiarity with Smartsheets
- Experience with certified payroll or job costing
- Ability to manage multiple priorities and deadlines simultaneously
- Prior experience as a lead or sole bookkeeper for a US-based business
- Familiarity with collaboration tools such as Microsoft Teams
