Podcast Booking Specialist

Job Summary

We are looking for a persuasive and well-organized Podcast Outreach Manager to secure guest appearances for a coaching business founder on relevant industry podcasts. You will work from an existing research list of target shows, craft compelling pitches, manage the outreach pipeline, and coordinate booked appearances. This is a focused role suited to someone who enjoys relationship-building and follow-through.

Key Responsibilities

• Research and qualify podcasts that reach business owners, entrepreneurs, and coaching audiences
• Update and maintain the guest media sheet, including bio, topics, talking points, and headshots
• Write and send personalized pitch emails to podcast hosts and producers
• Manage a follow-up sequence and keep the outreach pipeline organized and current
• Track outreach status, responses, and booking outcomes in a tracker or CRM
• Coordinate confirmed recordings, including scheduling, calendar invites, and pre-interview materials
• Send post-recording follow-ups and thank-you messages to hosts
• Gather episode links once published and organize them for repurposing
• Report regularly on outreach volume, response rates, and bookings secured

Mandatory Skills

• Proven experience in podcast guest booking, PR outreach, or cold email outreach
• Excellent written English with the ability to write personalized, natural-sounding pitches
• Strong organizational skills and disciplined follow-up habits
• Comfortable managing outreach trackers, spreadsheets, or CRM pipelines
• Confident researching and qualifying target shows independently
• Reliable, detail-oriented, and able to work independently with minimal supervision
• Strong communication skills and professional email etiquette

Preferred Skills

• Experience booking guests in the coaching, personal development, or business space
• Familiarity with podcast databases and discovery tools such as Listen Notes or Podmatch
• Experience with email outreach tools and sequencing platforms
• Understanding of how to position a personal brand and craft a compelling guest angle
• Ability to work well within a small team and report to a central coordinator
