Job Summary

We are seeking an experienced Mortgage Admin VA with a strong foundation in loan processing to support a growing mortgage brokerage team. This role involves processing loans from submission through closing, managing investor communications, handling data entry, and ensuring files move efficiently through the pipeline. The ideal candidate is detail-oriented, proactive, and confident in following up with borrowers and investors to keep deals on track.

Key Responsibilities

  • Process mortgage loans from initial submission through closing, including data input, document review, and file management
  • Run Automated Underwriting Systems (AUS) and work toward obtaining loan approvals
  • Price loans and obtain quotes from multiple investors
  • Conduct outreach to investors via email and manage communications across various investor portals
  • Upload and manage loan files on investor websites, adapting to each investor’s unique platform and requirements
  • Manage client dispositions and text-based communications within the CRM
  • Follow up with borrowers to collect outstanding documents and conditions needed for loan closing
  • Support multiple loan officers by processing and managing their deal pipelines
  • Maintain accurate records and ensure all loan data is current across systems
  • Assist with transitioning qualified leads from the CRM into the loan origination system for processing

Mandatory Skills

  • Proven experience in mortgage loan processing, including submission, processing, and closing
  • Strong knowledge of loan types including conventional, FHA, VA, jumbo, HELOCs, and construction loans
  • Ability to calculate and analyze borrower income documentation
  • Familiarity with loan origination software (e.g., Arive, Calyx Point, Encompass, or similar platforms)
  • Working knowledge of CRM systems such as GoHighLevel, Salesforce, or similar tools
  • Comfortable navigating and managing files across multiple investor portals and websites
  • Proactive and assertive in following up with borrowers and third parties to meet deadlines
  • Reliable, detail-oriented, and able to work independently with minimal supervision
  • Strong communication skills with the ability to collaborate effectively across a team

Preferred Skills

  • Experience working with Arive loan origination software
  • Familiarity with GoHighLevel CRM
  • Background in handling diverse loan products including second mortgages, third mortgages, and non-standard loan types
  • Experience supporting multiple loan officers or working within a small brokerage team
  • Knowledge of investor submission requirements and guidelines across various lenders
  • Ability to manage multiple loan files simultaneously while maintaining accuracy and meeting deadlines
