Job Summary
We are looking for a reliable and proactive Ministry Administrator to provide administrative and operational support for a growing church community. This part-time role centers on managing member and volunteer data, coordinating weekly gatherings, supporting guest speakers and events, and helping keep follow-up processes on track. The ideal candidate is detail-oriented, organized, and comfortable working independently across multiple moving pieces.
Key Responsibilities
- Manage member, visitor, and volunteer data in Planning Center, keeping records accurate and up to date
- Coordinate volunteer scheduling, flag coverage gaps, and notify team leads when additional recruitment may be needed
- Support Sunday readiness by preparing presentations, uploading videos, coordinating communion supplies, and ordering any items running low
- Assist with guest speaker logistics including travel coordination, slide preparation, sending location and parking details, and organizing welcome gift baskets
- Provide planning support for welcome classes, membership classes, and special services, including coordinating catering and event details
- Prepare and organize payments for musicians, guest speaker honorariums, facility rentals, and other recurring expenses for another team member to process
- Track receipts and expenses from team leads that fall outside the regular bookkeeping scope
- Prepare the weekly order of service document and hand it off to the on-site Sunday coordinator
- Monitor new visitor engagement, maintain follow-up lists, and prompt the appropriate team members when contacts need outreach
Mandatory Skills
- Prior experience with Planning Center or a similar member-management or CRM platform
- Strong administrative and data management background
- Proven ability to coordinate schedules, volunteers, and multiple stakeholders
- Comfort with basic financial organization such as preparing payment lists and tracking expenses
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong written and verbal communication skills
Preferred Skills
- Previous experience working with or inside a church environment
- Familiarity with community-focused, non-corporate operational culture
- Event coordination experience, especially with guest speakers or hospitality logistics
- Proactive mindset with the ability to anticipate needs and flag issues before they escalate
- Ability to manage multiple priorities and deadlines simultaneously
