Job Summary
We are seeking a versatile GoHighLevel Specialist and Marketing Virtual Assistant to manage our lead pipeline, convert inquiries into booked appointments, and run our social media presence. This role sits at the center of our client acquisition process — monitoring incoming leads, following up promptly by phone, email, and text, and moving prospects through to scheduled consultations. The ideal candidate is confident inside GoHighLevel, comfortable speaking with prospective clients, and creative enough to produce engaging content on a consistent schedule.
Key Responsibilities
- Monitor the GoHighLevel CRM pipeline daily for incoming leads and respond promptly
- Follow up with new leads by phone, email, and text using an established call script, with multiple touchpoints before moving them into nurture sequences
- Book qualified leads into appointments or consultation calls and assign them to the appropriate team member
- Manage and maintain GoHighLevel workflows, automations, and email sequences, including troubleshooting broken links and post-migration issues
- Input client and insurance information into the practice management system and guide new clients through account and portal setup
- Create and manage appointment scheduling links for the team
- Maintain and refresh an online professional directory profile on a weekly rotation to sustain visibility
- Create and publish social media content three times per week, sourcing material from existing blog content, team announcements, and upcoming events
- Produce and send a monthly email newsletter to the contact database
- Handle light engagement on social platforms and make small website updates as needed
- Attend a weekly team meeting and handle ad-hoc administrative requests throughout the day
Mandatory Skills
- Hands-on experience with GoHighLevel, including pipelines, workflows, automations, and email campaigns
- Proven experience in lead follow-up, appointment setting, or inside sales
- Comfortable making outbound calls and speaking with prospective clients professionally
- Experience creating and scheduling social media content across multiple platforms
- Ability to write clear, engaging copy for social posts and newsletters
- Strong organizational skills and the ability to track and follow up on leads without dropping any
- Excellent written and verbal English communication skills
- Reliable, detail-oriented, and able to work independently
Preferred Skills
- Experience supporting a healthcare, mental health, wellness, or professional services practice
- Familiarity with electronic health record or practice management systems
- Experience with VoIP or cloud phone systems
- Experience managing an online directory or listing profile
- Basic website editing and content update skills
- Canva or similar design tool proficiency for social graphics
- Experience with TikTok or short-form content engagement
- Ability to manage multiple priorities and switch between sales and creative tasks smoothly

Work Schedule
Monday 10:00 AM to 12:00 PM (occasionally 11:00 AM to 1:00 PM). Tuesday to Friday, 10:00 AM start, ending at 2:00 PM or 3:00 PM. Central Standard Time (CST). Roughly ~15-20 hrs weekly
