Job Summary

We are looking for a proactive and personable Legal Intake Specialist to manage and convert incoming leads for a growing practice. In this role, you’ll be the first point of contact for prospective clients — following up on inquiries, reaching out across phone, email, and text, and guiding leads toward booked consultations. The ideal candidate is a confident communicator with strong CRM skills and a track record of turning inquiries into committed clients.

Key Responsibilities

  • Respond to and follow up with inbound leads submitted through the website
  • Reach out to prospective clients promptly via phone, email, and text message
  • Convert inquiries into booked consultations and secured clients
  • Handle inbound calls from prospective clients and answer initial questions
  • Manage, update, and organize all lead records within HubSpot
  • Track follow-ups and keep the lead pipeline clean and current
  • Maintain timely, professional, and warm communication across all channels
  • Document every interaction and outcome accurately for the team

Mandatory Skills

  • Proven experience in lead follow-up, outreach, or sales conversion
  • Hands-on experience with HubSpot or a comparable CRM
  • Confident phone communicator who is comfortable making outbound calls
  • Excellent spoken and written English
  • Strong organizational skills and attention to detail
  • Reliable, detail-oriented, and able to work independently
  • Strong communication skills

Preferred Skills

  • Bilingual (English and Spanish)
  • Prior experience in a law firm or legal intake environment
  • Familiarity with family law or personal injury practice areas
  • Experience using dialer or VoIP phone systems
  • Ability to manage multiple leads and priorities simultaneously

Work Schedule

Monday-Friday, split shifts covering 8:00 AM – 8:00 PM EST. Saturday-Sunday, 9:00 AM – 4:00 PM EST. Schedule split between 2 VAs.
