Job Summary

We are looking for a meticulous and dependable Administrative & Operations Assistant to support the daily order workflow of a growing custom apparel and printing business. In this role, you’ll manage incoming orders by email, compile accurate order details, and prepare mock-up documents that go straight to production. The ideal candidate is highly organized, process-driven, and brings basic graphic design skills for simple logo adjustments. Because accuracy at this stage directly affects everything downstream, precision and reliability are essential.

Key Responsibilities

  • Manage and respond to incoming customer orders received via email
  • Review purchase order details and compile accurate order information (product type, color, size, and quantity)
  • Create mock-up documents by placing customer-supplied logos onto the correct product templates
  • Perform basic logo adjustments such as resizing, color changes, and minor line/weight edits in Adobe Illustrator
  • Send completed mock-ups to customers for review and approval
  • Update order statuses and details in the order management system
  • Maintain a high level of accuracy so production teams receive correct specifications
  • Follow established workflows and processes consistently to keep orders moving smoothly
  • Communicate clearly with customers and internal teams throughout the order lifecycle

Mandatory Skills

  • Basic graphic design ability, including working knowledge of Adobe Illustrator (resizing, color changes, simple logo edits)
  • Strong administrative and order-processing experience
  • Exceptional attention to detail and accuracy
  • Solid organizational skills with the ability to follow structured, repeatable processes
  • Comfortable working in order management or spreadsheet-style tools
  • Reliable, detail-oriented, and able to work independently
  • Strong communication skills and sound logical reasoning

Preferred Skills

  • Experience in a print, apparel, e-commerce, or order-fulfillment environment
  • Familiarity with Airtable or similar order/project management tools
  • Background in customer service or client-facing email communication
  • Patience and consistency with repetitive, detail-heavy tasks

Work Schedule

Monday to Friday, 8:30 AM to 4:30 PM Central Time (approx 7 to 8 hours/day)
