Job Summary

We are seeking a skilled Automation and Workflow Specialist to streamline and manage our digital infrastructure, including email automations, CRM workflows, and online course integrations. The ideal candidate has hands-on experience with tools like Zapier, ActiveCampaign, and Thinkific, and can troubleshoot, build, and optimize automated pipelines that support webinar registrations, email sequences, and payment processing. This role is perfect for someone who thrives on solving technical problems and creating seamless digital experiences.

Key Responsibilities

Build, troubleshoot, and maintain automation workflows connecting the website, CRM, and course platform using Zapier
Set up and manage email automations and sequences in ActiveCampaign, including lead nurturing and webinar follow-ups
Configure and optimize Thinkific for online course delivery, including enrollment automations and student communications
Ensure all automations between Wix, Zapier, ActiveCampaign, and Thinkific are functioning correctly and reliably
Troubleshoot broken zaps, incorrect triggers, and misdirected links across the automation stack
Support the setup and integration of Stripe as the primary payment processing solution
Monitor and test automated pipelines regularly to prevent errors and ensure a smooth user experience
Document workflows and create process guides for all automations built or maintained
Provide recommendations for improving existing workflows and suggest new automations to increase efficiency
Assist with general administrative and operational tasks as needed to support business growth

Mandatory Skills

Proven experience building and managing automations using Zapier
Strong working knowledge of ActiveCampaign, including email sequences, tagging, and list management
Experience with online course platforms, preferably Thinkific
Ability to troubleshoot and debug automation workflows across multiple integrated platforms
Familiarity with connecting payment processors (e.g., Stripe) to automation workflows
Strong attention to detail with the ability to identify and resolve technical issues quickly
Reliable, detail-oriented, and able to work independently with minimal supervision
Strong communication skills and ability to explain technical processes clearly

Preferred Skills

Experience with Wix website management and basic design or layout adjustments
Familiarity with webinar setup and registration automation workflows
Background in supporting businesses in the health, wellness, or education sectors
Experience with Kajabi or similar all-in-one course and marketing platforms
Ability to create SOPs and documentation for automated workflows
Proactive mindset with the ability to suggest process improvements beyond assigned tasks
