Job Summary
We are looking for a detail-oriented Solar Back Office Coordinator to own each solar project’s administrative journey from contract signature through completion. In this role, you’ll conduct customer welcome calls, coordinate design and permitting, manage utility interconnection and lender portal submissions, and keep post-install inspections and funding on track. The ideal candidate is highly organized, comfortable navigating multiple online systems, and able to move complex paperwork forward without anything falling through the cracks.
Key Responsibilities
- Own each project’s administrative workflow from contract signature through project completion
- Conduct welcome calls with newly signed customers in English and Spanish
- Schedule site surveys and coordinate with field teams on availability
- Coordinate with the design team to keep system designs moving through internal review
- Prepare and submit permitting applications through Permit Labs
- Complete, submit, and track utility interconnection applications with the relevant utility providers
- Enter and submit project data through lender portals to support financing approval
- Coordinate installation scheduling once permits are approved
- Schedule post-installation inspections with the appropriate authorities
- Process Permission to Operate (PTO) paperwork to activate completed systems
- Prepare and submit funding requests to release payment at each project milestone
- Maintain accurate, up-to-date records across every stage of the project lifecycle
Mandatory Skills
- Proven experience in administrative, project coordination, or back-office support
- Fluent Spanish and English, spoken and written
- Comfortable navigating and entering data into multiple online portals and systems
- Strong ability to manage document-heavy, deadline-driven processes with accuracy
- Highly organized and process-driven, able to track multiple projects at different stages simultaneously
- Confident on the phone with customers and external parties
- Reliable, detail-oriented, and able to work independently
- Strong written and verbal communication skills
Preferred Skills
- Experience in the solar, renewable energy, or construction industry
- Experience producing solar system designs using design software such as Helioscope, Aurora Solar, or similar
- Familiarity with permitting platforms such as Permit Labs or similar systems
- Experience with utility interconnection applications and Permission to Operate (PTO) processing
- Experience with lender or financing portal data entry and submissions
- Experience working inside a CRM and supporting a CRM migration or system change
- Ability to manage multiple projects and priorities simultaneously
