Job Summary
We are looking for a detail-oriented CRM Expert with hands-on BoldTrail experience to rebuild, organize, and maintain the CRM for our real estate business, which works primarily with buyers. This is a back-end, data-focused role centered on data hygiene, lead organization, and campaign management — cleaning up our contact database, importing and categorizing leads, and running drip and email campaigns that keep buyers and past clients engaged. There is no phone or calling work involved. The ideal candidate is meticulous, systematic, and takes genuine pride in a clean, well-organized database.
Key Responsibilities
- Rebuild and restructure our BoldTrail CRM into a clean, well-organized system
- Clean and de-duplicate existing contact records to ensure data accuracy and integrity
- Import, organize, and tag leads from Zillow and other lead-generation platforms
- Transcribe handwritten notes from screenshots and accurately enter them into the CRM
- Categorize and segment the database by lead temperature and status (actively searching, paused, purchased, closed)
- Build, launch, and manage drip and email campaigns to nurture buyers and re-engage past clients
- Maintain ongoing CRM hygiene as new leads and contacts are added
- Keep records consistent, current, and properly categorized across the database
Mandatory Skills
- Proven hands-on experience with BoldTrail (or kvCORE) or a comparable real estate CRM
- Strong CRM data hygiene skills — cleanup, de-duplication, segmentation, and accurate data entry
- High attention to detail and a methodical, organized approach to large datasets
- Experience building and managing drip and email marketing campaigns within a CRM
- Ability to accurately transcribe and enter data from screenshots and handwritten notes
- Solid written English and clear communication skills
- Reliable, detail-oriented, and able to work independently
Preferred Skills
- Experience in the real estate industry or supporting real estate agents
- Familiarity with lead sources such as Zillow, Realtor.com, or similar platforms
- Understanding of lead nurturing and buyer/past-client engagement strategies
- Experience with email marketing best practices and campaign performance tracking
- Ability to suggest improvements to CRM structure and workflows
- Ability to manage multiple tasks and priorities simultaneously
