Job Summary
We are looking for a technically-minded AI Marketing Operations VA (Marketing Secrets AI) to own the day-to-day operation of our AI-powered marketing platform. This role centers on connecting tools, building and maintaining automated workflows, and training our AI system to execute marketing campaigns at scale. The ideal candidate is comfortable with CRMs, integrations, and automation logic, and has enough marketing knowledge to understand what the campaigns are meant to achieve.
Key Responsibilities
- Manage and maintain our AI-powered CRM and marketing automation platform
- Build, connect, and troubleshoot integrations between the platform and third-party tools
- Set up and maintain automated workflows across marketing and sales processes
- Train the AI system on brand voice, tone, and character/personality profiles
- Support the launch and ongoing management of cold email campaigns
- Assist with influencer outreach and paid advertising campaign setup
- Manage marketing service delivery workflows on behalf of the accounts we support
- Monitor automation performance, identify breakages, and resolve issues proactively
- Document processes and workflows as new integrations and systems are added
- Learn new platform features quickly and apply them to live campaigns
Mandatory Skills
- Hands-on experience with CRM and marketing automation platforms (HubSpot, GoHighLevel, or similar)
- Strong understanding of workflows, triggers, and automation logic
- Experience connecting apps and tools via integrations, APIs, Zapier, or equivalent
- Practical experience using AI tools and writing effective prompts
- Working knowledge of digital marketing services — email marketing, paid ads, and outreach campaigns
- Fast learner, comfortable adopting brand-new software with minimal documentation
- Reliable, detail-oriented, and able to work independently
- Strong communication skills in written and spoken English
Preferred Skills
- Experience as a HubSpot or GoHighLevel administrator or implementation specialist
- Background in a marketing agency or marketing services environment
- Experience building cold email infrastructure and sequences
- Familiarity with Canva or similar design tools
- Exposure to AI agent configuration, knowledge bases, or voice/tone training
- Ability to manage multiple projects and systems simultaneously
