Customer Service & Dispatch Coordinator

Job Summary

We are seeking a Customer Service & Dispatcher Coordinator Virtual Assistant to become the heartbeat of our service operations. This role is ideal for someone with excellent communication and coordination skills who thrives in fast-paced garage door services. You will serve as the first point of contact for customers, manage technician schedules, and ensure seamless service delivery.

Key Responsibilities

• Answer incoming customer service calls and gather accurate service request details
• Schedule appointments and assign technicians based on availability, skillset, and location
• Coordinate technician communications through WhatsApp groups and CRM tools
• Manage and update customer records using GoHighLevel CRM
• Route work orders efficiently to meet response time expectations
• Monitor service progress and follow up with both customers and technicians
• Maintain professionalism and confidentiality in all customer interactions
• Track technician performance and send reminders for jobs and updates
• Prioritize emergency calls and ensure timely dispatching
• Support administrative tasks related to daily operations and scheduling

Mandatory Requirements

• Strong English communication skills – both written and verbal (required)
• Experience in dispatch coordination, customer service, or virtual assistance
• Highly organized, detail-oriented, and capable of working independently
• Familiar with field service environments and customer service best practices

Preferred Qualifications

• Experience with GoHighLevel CRM and WhatsApp Business
• Ability to build rapport with customers and field technicians
