Job Summary
We are seeking a skilled ZOHO Specialist (Executive Assistant) to support the operations of a growing building advocacy and client support business. The primary focus of this role is implementing, configuring, and building workflows within the Zoho ecosystem, while also providing executive-level administrative support. The ideal candidate combines deep Zoho platform expertise with strong organizational skills and a proactive, solutions-oriented mindset.
Key Responsibilities
- Implement, configure, and maintain the Zoho CRM platform, including building workflows, automations, and custom modules
- Design and optimize business processes within the Zoho ecosystem to support operational efficiency
- Manage executive calendar, email inbox, and scheduling across multiple time zones
- Maintain and update client databases and records within Zoho CRM
- Coordinate internal communications and ensure smooth information flow across team members
- Assist with lead tracking, client follow-ups, and pipeline management within the CRM
- Support day-to-day administrative tasks as assigned by the business owner
- Contribute to the development and documentation of standard operating procedures within Zoho
- Handle inbound and outbound client communications when needed
Mandatory Skills
- Demonstrated hands-on experience with the Zoho ecosystem, particularly Zoho CRM, Zoho Projects, and workflow automation
- Ability to build, configure, and customize Zoho modules, workflows, blueprints, and integrations
- Strong organizational and calendar management skills
- Experience with database management and CRM data hygiene
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong written and verbal communication skills
- Comfortable working across multiple time zones
Preferred Skills
- Experience supporting executives or business owners in a virtual capacity
- Familiarity with Zoho One or multiple Zoho apps beyond CRM (e.g., Zoho Desk, Zoho Analytics, Zoho Books)
- Background in construction, real estate, or property-related industries
- Experience handling client-facing calls (inbound and outbound)
- Ability to manage multiple projects simultaneously
- Experience in setting up Zoho for new business units or franchise operations
