Job Summary
We are seeking a driven and detail-oriented Real Estate Admin VA to support our growing real estate investment operations. This role centers on managing pre-foreclosure outreach, lead follow-up, appointment setting, and transaction coordination. The ideal candidate brings real estate industry experience, strong communication skills, and familiarity with CRM platforms and AI-powered workflows.
Key Responsibilities
- Manage and execute text messaging campaigns to engage pre-foreclosure leads
- Conduct consistent follow-ups with prospects via phone, text, and email to move them through the pipeline
- Perform cold calling to generate new leads and set qualified appointments
- Coordinate transactions with title companies and mortgage companies throughout the closing process
- Set and confirm appointments between leads and the acquisitions team
- Maintain and update lead records, pipeline stages, and task workflows within GoHighLevel CRM
- Support AI conversation workflows and automations within the CRM to improve lead engagement
- Handle light social media management tasks, including posting and basic engagement
- Track and report on outreach activity, response rates, and appointment conversion metrics
Mandatory Skills
- Proven experience in real estate virtual assistant roles or a similar real estate support position
- Strong skills in cold calling, text messaging campaigns, and lead follow-up
- Experience with appointment setting and lead qualification in a sales-driven environment
- Familiarity with transaction coordination processes involving title and mortgage companies
- Working knowledge of GoHighLevel or a similar CRM platform
- Comfortable working with AI-powered workflows and automated conversation tools
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Excellent verbal and written communication skills
Preferred Skills
- Extensive experience building and managing workflows within GoHighLevel
- Background in pre-foreclosure, wholesale, or real estate investment operations
- Experience with social media management for real estate or small business accounts
- Familiarity with skip tracing tools and lead list management
- Ability to manage multiple campaigns and priorities simultaneously
- Proactive mindset with the ability to identify process improvements and suggest solutions
