Job Summary
We are looking for a reliable and self-driven Administrative Virtual Assistant to support a busy independent contractor operating across the franchising, health, and education services industries. This part-time role involves a mix of email management, document retrieval, research, and general administrative support. The ideal candidate is comfortable working independently, follows instructions well, and can manage recurring tasks with minimal supervision.
Key Responsibilities
- Manage and track outbound email touchpoints for sales contacts using a shared Google Sheet, either sending emails directly or preparing daily email drafts for review
- Retrieve and download Franchise Disclosure Documents (FDDs) from various websites and organize them in a shared Google Drive
- Identify and document music tracks from online health and wellness videos to compile accurate song playlists
- Monitor and manage incoming emails via Outlook, flagging priority items and keeping the inbox organized
- Assist with recurring administrative tasks on a weekly basis as assigned, adapting to shifting priorities
- Maintain organized file and document systems in Google Drive
- Communicate progress and completed tasks via email on a regular basis
Mandatory Skills
- Solid experience in general administrative or virtual assistant roles
- Proficient in Google Workspace tools, including Google Sheets and Google Drive
- Comfortable with Outlook for email management and correspondence drafting
- Strong research and document retrieval skills — ability to locate, download, and organize files from various online sources
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong written English communication skills
- Able to manage tasks asynchronously and deliver work within agreed timeframes without requiring real-time check-ins
Preferred Skills
- Experience with Adobe Acrobat Pro for document handling and PDF management
- Background in video design or content production
- Familiarity with franchise industry terminology or documents (e.g., FDDs)
- Experience working in a sales support or CRM-adjacent capacity
- Comfortable learning new platforms and processes through video tutorials
- Strong attention to detail when working with structured data or contact lists
